Quebec and France have different rules

The most important thing to establish before ordering is which French-speaking authority the document is going to, because the requirements are genuinely different.

Quebec operates a certification regime tied to its provincial order of certified translators. For many official purposes, Quebec authorities require a translation produced by a member of that order, and a translation certified in India — however competent — may not satisfy the requirement.

This is not a detail to discover after paying. If you are applying under a Quebec programme, check the specific requirement for your application stream first. Where Quebec requires a locally certified translator, we will tell you so rather than sell you a translation that will not be accepted. In some cases a translation prepared here is acceptable for preliminary stages and must be redone locally for the formal submission.

France, Belgium and other French-speaking destinations generally operate differently, commonly accepting a certified translation accompanied by an apostilled original. France in particular has its own system of sworn translators appointed by courts of appeal, and some French authorities prefer or require one.

Ask, in writing, before you commission anything. This pair produces more wasted expenditure through wrong assumptions than any other we handle.

Rendering Indian qualifications

French academic vocabulary does not map neatly onto Indian qualifications, and the temptation to translate a Bachelor of Technology into a French equivalent should be resisted.

We render the qualification as awarded and do not assert an equivalence. Determining French equivalence is the function of the recognition authorities, who apply their own framework, and a translator’s assertion carries no weight with them while potentially contradicting their finding.

The same applies to grading. An Indian CGPA is reproduced as stated, not converted to a French twenty-point scale, because the conversion methodology belongs to the assessing body.

Names and administrative detail

French administrative practice is precise about name fields, distinguishing given names from family name in ways Indian documents often do not. Where an Indian document gives a name as an undifferentiated string, or uses initials, the translation preserves it and notes the structure rather than imposing a division that the original does not support.

Dates are rendered unambiguously with the month named, since Indian day-first and any month-first reading would otherwise conflict.

Apostille sequence

France, Belgium and Canada are all Hague Convention members, so the apostille route applies rather than embassy attestation. In the usual case the Indian original is apostilled by the Ministry of External Affairs and the certified translation accompanies it.

Confirm with the receiving authority whether they want the translation itself authenticated as well — practice varies, and translating in the wrong order costs weeks.

Vocabulary of Indian administration

French has no established vocabulary for much of Indian administrative practice. Terms for revenue categories, board examination structures, community certificates and stamp paper have no French counterpart, and inventing one misleads.

We render such terms literally and add a short translator’s note explaining the concept where a French official would otherwise be unable to interpret it. That is more useful to the reader than an approximate French term that carries different institutional meaning.

Certificates of no impediment and civil status

French and Belgian civil registration is exacting about civil status documents. Where a marriage is being registered, authorities may require documents establishing that neither party is already married — and Indian practice does not produce an exact equivalent.

Usually this is met with an affidavit, which itself requires translation and the private document authentication chain. Ask the mairie or the consulate exactly what they require before commissioning anything, because this is where the requirements differ most sharply from Indian practice.
